The HumanLink.AI Privacy Policy

1. WHO WE ARE & SCOPE OF THIS POLICY

HumanLink.AI, Inc. ("HumanLink.AI," "we," "us," or "our") provides Enclave, a secure platform and set of advisory services that help organizations operate with teams of AI "essences" alongside their people. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you:

• visit our website at humanlink.ai (the "Site");

• communicate with us (e.g., sales inquiries, support, email); and

• engage us for advisory services or use the Enclave platform (the "Services").


Data controller: HumanLink.AI, Inc., with offices located at 101 Rainbow Drive, Livingston, Texas 77399.

This policy describes our practices for PERSONAL INFORMATION. Note that, in our customer engagements, HumanLink.AI is designed to minimize personal data: our advisory and Enclave engagements are configured to avoid collecting or maintaining customers' end-user personal information wherever possible (see Section 6).


2. INFORMATION WE COLLECT

Information you provide to us:

• Contact and business details (name, company, role, email, phone) when you contact us, request information, or enter into an engagement.

• Communications you send us (e.g., email, meeting notes, support requests).

• Engagement and account information needed to deliver the Services, including login credentials for authorized users.


Information collected automatically when you use the Site:

• Device and usage data (IP address, browser type, pages viewed, referring URLs, timestamps).

• Cookies and similar technologies.


Information from third parties:

• Business contact data from our service providers (e.g., CRM, marketing, event platforms) and publicly available professional sources.


Customer-provided materials: In an engagement, customers may provide business materials (e.g., program documents, process descriptions) that HumanLink.AI processes on the customer's behalf to deliver the Services. To the extent those materials contain personal information, we process them as described in Sections 5 and 6 and under our customer agreement.


3. HOW WE USE INFORMATION

We use personal information to:

• provide, operate, and improve the Site and Services;

• respond to inquiries and provide customer support;

• manage engagements, contracts, billing, and our business relationship;

• send administrative and, where permitted, marketing communications (you can opt out);

• maintain security, prevent fraud and abuse, and ensure reliability;

• comply with legal obligations and enforce our agreements.


We do NOT sell personal information, and we do NOT use customer engagement data to train foundation models (see Section 6).


LEGAL BASES (where GDPR/UK GDPR applies)

Where applicable, we rely on: performance of a contract; our legitimate interests (e.g., operating and securing our business) balanced against your rights; your consent (e.g., certain cookies/marketing); and compliance with legal obligations.


4. HOW WE SHARE INFORMATION

We share personal information only as needed:

• Service providers / sub-processors who help us run our business and Services under contract and confidentiality obligations (see Section 6 and our Sub-processors list).

• Professional advisors (legal, accounting) and, where required, authorities or in response to lawful requests.

• Business transfers (e.g., merger or acquisition), subject to this policy.


We do not sell personal information and do not share it for third-party advertising.


5. AI, FOUNDATION MODELS & CUSTOMER DATA (our key commitments)

HumanLink.AI builds on a third-party foundation model. We do not develop or train the foundation model ourselves.

• No training on your data: We do not use customer engagement data to train foundation models. Our foundation-model providers , accessed under a commercial agreement, does not use our API inputs/outputs to train its models.

• Isolation: Customer engagements run in dedicated, single-tenant environments; one customer's data is not comingled with or accessible to another.

• Data minimization: Engagements are designed to avoid collecting or maintaining end-user personal information; we use representative or de-identified data where possible.

• Sub-processors: We rely on a small set of vetted providers — principally Anthropic (foundation model), NVIDIA and Google Cloud (local models/hosting/infrastructure).


6. DATA RETENTION

We retain personal information only as long as necessary for the purposes described here, to comply with legal obligations, resolve disputes, and enforce agreements. Customer engagement data is retained per the applicable customer agreement and deleted or returned on request or at engagement end.


7. SECURITY

We apply administrative, technical, and physical safeguards appropriate to the risk, including, least-privilege access controls, single-tenant isolation for customer engagements, and ongoing security improvements. Encryption in transit; encryption at rest in cloud/CMEK environments, are in the process of being extended to all deployment modes. HumanLink.AI is pursuing SOC 2 certification (Type 1 targeted by October 1, 2026; Type 2 thereafter). No method of transmission or storage is 100% secure, but we work to protect your information.


8. INTERNATIONAL DATA TRANSFERS

We may process and store information in the United States and other countries. Where required, we use appropriate safeguards (e.g., Standard Contractual Clauses) for cross-border transfers.


9. YOUR PRIVACY RIGHTS

Depending on your location, you may have rights to access, correct, delete, port, or restrict use of your personal information, and to object or withdraw consent. California residents have rights under the CCPA/CPRA, including the right to know, delete, correct, and opt out of "sale"/"sharing" (we do not sell or share personal information as defined). To exercise rights, contact Privacy@HumanLink.AI . We will not discriminate against you for exercising your rights.


10. COOKIES & ANALYTICS

We use cookies and similar technologies to operate the Site, remember preferences, and understand usage.


11. CHILDREN'S PRIVACY

The Site and Services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.


12. THIRD-PARTY LINKS

Our Site may link to third-party websites or services we do not control. This policy does not apply to those third parties; please review their privacy policies.


13. CHANGES TO THIS POLICY

We may update this policy from time to time. We will post the updated version with a new "Last updated" date and, where appropriate, provide additional notice.

OUR APPROACH TO AI

HumanLink.AI builds Enclave — a secure platform of AI "essences" that work as integral members of a team, alongside people. We believe AI should amplify human teams, not replace them, and that it must be secure, transparent, and accountable to be trusted with real work. This statement describes how we develop and operate AI responsibly, how we handle data, and the commitments we make to our customers. It complements our Privacy Policy.


HOW ENCLAVE WORKS (TRANSPARENCY BY DESIGN)

Enclave is a two-layer system, and we are explicit about the distinction:

• Foundation-model layer: We build on a leading third-party foundation models, accessed under a commercial agreement. HumanLink.AI does NOT develop, train, or fine-tune the foundation model.

• Enclave application layer: Our own software — role-based AI essences organized into "pods," persistent memory, secure channels, a knowledge vault, governance, and deployment. This is what we build, operate, and stand behind. Each essence has an explicit, inspectable identity and instruction set and is grounded in source material the customer provides, so its outputs can be traced and reviewed.


OUR RESPONSIBLE-AI PRINCIPLES

Augmentation, not replacement. Enclave amplifies human teams. People retain strategy, relationships, and judgment; AI absorbs the work that doesn't scale with headcount.

Human oversight. Consequential actions are kept human-in-the-loop. Essences are designed to defer and escalate to a person when they lack grounding, rather than act beyond their scope.

Transparency & explainability. Outputs are source-grounded and can cite the material that informed them. We are clear about what is AI-generated and where AI is used.

Security & privacy by design. Single-tenant isolation, encryption, least-privilege access, and data minimization are built into how we deploy and operate.

Accountability. We log activity, evaluate performance against agreed criteria, and remediate issues. We define success criteria with customers before we scale a workflow.


DATA & PRIVACY COMMITMENTS

• We do not train foundation models on your data. HumanLink.AI does not use customer engagement data to train models. Our foundation-model provider (Anthropic), under its commercial terms, does not use HumanLink.AI API inputs/outputs to train its models.

• Your data stays isolated. Customer engagements run in dedicated, single-tenant environments; one customer's data is never comingled with or accessible to another, and cannot surface in another customer's results.

• Data minimization. We design engagements to avoid collecting or maintaining end-user personal information (PII); we use representative or de-identified data where possible.

• Customer ownership & control. Customers own the data they provide and the deliverables we produce for them; data can be exported, returned, or deleted on request or at engagement end.

• Sub-processors. We rely on a small set of vetted providers — principally Anthropic (foundation model), NVIDIA and Google Cloud (local models/hosting/infrastructure). Current list:

SAFETY, FAIRNESS & BIAS

Any large language model can reflect biases present in its training data. We address this at both layers:

• Foundation-model layer: Anthropic conducts and publishes safety, fairness, and red-team evaluations for Claude (model cards and Trust Center).

• Enclave application layer: We mitigate through narrow role-scoping, grounding essences in customer-approved source material, human-in-the-loop review, and task-specific evaluation of output quality against agreed use cases. Where issues are found, we tighten scoping and grounding, add review checkpoints, or restrict the workflow before it advances. Enclave is not built to profile individuals or make consequential decisions autonomously.


TRANSPARENCY & EXPLAINABILITY

Because the underlying model is generative and probabilistic, explainability in Enclave means source-grounded, auditable, human-reviewable outputs rather than a fixed decision tree. Essences ground answers in retrievable material and can show the sources used, so a customer can understand what informed a given output. We document, as part of our engagements, how and where AI is used in a workflow.


SECURITY & COMPLIANCE

• Encryption in transit (TLS) and at rest; encrypted backups; cloud-managed key encryption (Google Cloud KMS / CMEK) are being implemented.

• Single-tenant isolation, least-privilege access, and authenticated user access.

• Deploy-anywhere: Enclave can run in cloud or sovereign / on-premises environments where data residency or control requirements demand it.

• Compliance roadmap: HumanLink.AI is pursuing SOC 2 (Type 1 targeted by October 1, 2026; Type 2 thereafter), with longer-term alignment to public-sector frameworks. Our foundation-model provider holds SOC 2 Type II and ISO 27001.


HUMAN OVERSIGHT & ACCOUNTABILITY

Enclave keeps people in control. Consequential actions require human review; essences operate within defined roles and escalate when uncertain. We log interactions and memory, evaluate performance against agreed metrics, and hold ourselves accountable for remediating issues.


MONITORING, INCIDENTS & MODEL UPDATES

• Monitoring: We track performance against task-specific metrics defined with the customer and review on a set cadence.

• Issue handling: Logged activity enables review; issues are triaged and remediated through configuration, scoping, grounding, or workflow changes.

• Model updates: The foundation model is maintained by Anthropic; we manage model-version selection through our LLM gateway to adopt updates in a controlled way. Platform updates follow our release process.


ACCEPTABLE USE

We operate in line with our providers' usage policies and our own standards. We do not support uses intended to deceive, harm, unlawfully surveil, or discriminate against people, and we reserve the right to decline or discontinue uses that conflict with these principles.
